Can I "hide" multiple records from a list of names and addresses in Microsoft Works ?
Answer:
Hiding a portion of your names and addresses will allow you to print or view only those that are needed. If you have several records to hide, please follow these steps: (If you only have a few records to hide, please see the second set of instructions.)
1) First, you will need to highlight the group of records that you wish to hide. To do so, you may select the records using the [F8] key and the cursor keys or you may "drag" the mouse over the records. Next, choose Select from the menu bar and choose Hide Record. You should now be viewing only the records you wish to use.
2. If you only have a few names you wish to work with, then you can hide only those names you DO want. Using the "Switch Hidden Records" command will swap the names you hid with those that were not selected. Now, you have the names that you want to work with displayed and ready to use.
To do this, open your database file. Select the record(s) you WANT to use. Then, choose Select from the menu bar at the top of the screen. Next, you will need to select Hide Record from the Select menu. Do this for each appropriate record. Choose Select from the menu bar and then select Switch Hidden Records. Now, you will have only those records you wish to work with.
It might be possible to group together all of the records that you want to hide. You can sort the records; this option is found under the Select Menu. Sort them by the field which has the address. You can then easily highlight them and hide them all at once. After you've hidden the ones you want, you can re-sort the records before printing labels if necessary.
