Aptiva - How to save a file

Applicable to: World-Wide

Whether you are working with an open application file in Windows 95, Windows 3.1, or in OS/2, you use the same basic steps when you're ready to save a file.
1. In the application with the open file, such as a word processing document, click on File on the toolbar of the application.

2. In the pull-down menu, click on Save if the file has already been named and you want it to be saved in the default directory (or folder) as determined by the application. However, if you wish to name a new file, rename an existing file, or specify that a file be saved to a different directory (or folder), click on Save As.

3. If you select the Save As option, specify the name, and if applicable, a drive letter and directory where you want it to be saved

Using the Save option when saving a file:

When you open a file that already exists (in order to edit it), it already has a name established as well as a specific drive and directory, or folder, that it is kept in. If you select the Save option, the file will be saved back to the same drive and directory with the same filename as before.

Using the Save As option when saving a file:

When you open a file that already exists, but to which you wish to make changes and then save as a new file (thus retaining the original file as well), choose the Save As option. In this case, the intent is to give the edited version of the file a new name in order to save both the original file as well as the new version with the edits or changes. An example of this might be a form letter that you need a similar copy of but with some minor changes.

With the Save As option you can also change the drive and directory where the new or modified file is to be saved. For example, if you have a file named INVNTORY in a directory named BUSINESS on the C: drive, the complete filename would be C:\BUSINESS\INVNTORY. In this example your intent is to modify this file and then save the modified version to a diskette. To do this, select Save As and name the modified version of the file A:\INVNTORY. This places a file named INVNTORY on the diskette and the original file, C:\BUSINESS\INVNTORY, remains unchanged.
