PS/1 - Microsoft Works label printing questions and answers

Applicable to: United States

Question:
Why do I have blank lines on the labels I have printed from Works 2.0?

Answer:
When you print labels from Works 2.0 using the Database and the Print Labels command in the Word Processor, Works prints a blank line anytime the corresponding field in the Database is blank. This problem was corrected in Works 2.0a.

To avoid this problem in Works 2.0, use the following six-step procedure:

1. Sort the Database on the field(s) that may be blank. This groups all of the records with blank fields together.

2. Enter list view and hide the records with blanks by highlighting them and choosing Hide Record from the Select menu. The only records that should now be visible are those with no blanks.

3. Return to the Word Processor file and print the labels.

4. In the Word Processor document, remove the placeholder for the field that is blank in the remaining records.

5. Return to the Database. From the Select menu, choose Switch Hidden Records.

6. Return to the Word Processor and print the labels that include the blank records.

NOTE: If more than one field is blank, you will need to repeat this process for each field.

Question:
How do I obtain Works for Windows 2.0a, which solves the problem of blank lines printing on labels?

Answer:
To obtain new or updated Microsoft products, call Microsoft End User Sales at (800) 426-9400. If you are outside the United States, contact the Microsoft subsidiary for your area.

To locate your subsidiary, call Microsoft International Customer Service at (206) 936-8661.

Question:
I'm still not sure why I have blank lines printing on my labels. Under what circumstances does Works 2.0 print blank lines on labels?

Answer:
The most likely cause is that the line in the Word Processor document that contains the blank field placeholder has a character on it such as a space or tab. Remove any spaces before or after the placeholder. Works may print blank lines in labels if all three of the following conditions exist:

For more information about printing labels, see the "Microsoft Works for Windows User's Guide" for Works 2.0.

Question:
Why don't the top or bottom rows print on the labels I have printed using Works 2.0?

Answer:
Works may exhibit problems printing the top or bottom row of labels on tractor feed labels when you are using a dot-matrix printer driver. Many of these problems have been resolved in later releases of the individual printer drivers. Newer drivers are available on the Microsoft DownLoad Service (MSDL), or on CompuServe. To obtain the newest versions of printer drivers, however, you may need to contact the manufacturer of your printer.
