1. Overview.

1.1 What the System Does.

This application is made up of two modules. The Price module allows you
to create and amend your price list. Enter details of all the parts you
sell including prices and sale descriptions. The shareware version of
this module may be distributed freely but is restricted to details of
fifty parts. If you do not require more than fifty parts in your price
list then feel free to continue using this shareware as long as you
wish. If you register this shareware you will receive the commercial
version which does not have any limit on the number of parts you can
enter. However the commercial version of the price book creation module
can not be distributed freely, as is traditional with software packages.

The customer or order module is used by your customers to create orders
for your goods. This module has been placed in the public domain and may
be distributed freely without any payment of licence fees on condition
that Software Enterprises make no warranty for either of these modules
and can not accept responsibility for any losses which may occur.

Please read the licence agreements. If you do not agree fully with the
conditions contained in the licences you must not use either module and
return the software for a full refund if you have paid for the commercial
version. It is also necessary that your customers agree to the licence
agreement for the customer module if they wish to use it.

Both modules are fully network compatible offering simultaneous access
to an unlimited number of network users.

1.2 Benefits.

The list below illustrates some of the benefits users of this software
    might achieve.

    Cost Reduction.

The production of glossy sales catalogues can be very expensive.
Distribution and delivery charges can be significant. The production
of price lists can be very time consuming. Many users will find this
software reduces operating costs in this area.

    Increased Sales.

In many cases the success of a price list is dependent on its availability
and ease of use. In an ever changing market place where products are
continually being improved, the maintenance of a printed price list can
pose yet more problems. Not only should this software make it easier for
your customers to place orders for your products, it will also make it
easier for you amend product details and re-issue any updated catalogue.
Many users will find this software increases their sales directly.

creation program to. And there is no hidden cost.

Help where help is most needed. On the customers desk. Price list
amendments	are easy. Change any range of items by percentages or fixed
values then redistribute the list. Gives you the edge over the
    competition.

Leaves more time to concentrate on selling.

models, descriptions, prices and VAT details. Insert as many parts as
you wish. Up to 2,000 parts will fit on one high density 3.5" diskette

    Secure.

The Price list creation program is fully password protected. Users are
given rights to the entire package or can be restricted to routine Price
list creation options. Print an Audit trail to check any changes made
and print out the Price list as required in full or by range.

    Adaptable.

1.3 The Price List Life Cycle.

It is likely that most companies will wish to review their price list on
a periodic basis - perhaps quarterly. This software makes it easy to do
this. A suggested life cycle is given below. It is likely that many users
will want to deviate from this suggested procedure. In any event take care
to break your price book into manageable sections. Some of your customers
may have slow PC's. Putting no more than twenty items in each section
should ensure everyone gets a very good response from this software.

1.4 Which Sections Should You Read.

It is envisaged that this manual will be useful to two groups of people.

Supervisors will retain rights to all menu options and will be
responsible for checking that data entries are made correctly.

Operators will mainly be responsible for entering data, amending item
    details and amending sections.

The access level of each user can be set by the supervisors as can the
menu options which are available to each access level.

It would be helpful for all users to read through this manual in full
so that an understanding of the entire application can be attained.

    1. Overview.

A basic description of the business problem which this software is
the solution to. Useful to all users.

    2. What Each Menu Selection Does.

Useful to all novice users and to all users who are being given extra
security privileges. Read this section carefully especially if you are
to be involved in data amendment. The system contains some powerful
update mechanisms which should be understood fully before use so that
they are used correctly to amend the data as required.

    3. Security.

A statement of the safe guards built in to the system to preserve
        data integrity.

    4. Help.

The system contains context sensitive help (help which varies
depending where you are in the application.)

    5. What To Avoid.

Essential to all users. The 10 Golden rules of using this system.

    6. What To Do If Things Go Wrong.

The action taken by a user when a problem is encountered can make
all the difference to the efficiency and speed of response of
support staff. The procedures laid out here apply to all PC systems.
Read this if you are new to computer applications.

e.g. Type MODE LPT1:=COM1 at the DOS prompt then press <enter>.
Then type MODE COM1:9600,n,8,1,p and press <enter> if your printer
is connected to your first serial PC port and has a default
configuration of 9600 baud rate, no parity, 8 data bits and 1 stop
       bit.

Insert these lines in your AUTOEXEC.BAT with the appropriate
options to suit your printer (if they are required) and reboot
your PC to redirect the output from the first parallel port if
       this is necessary.

Consult the section in your DOS manual which explains the MODE
command if you are having problems with the connection between
your PC and printer, alternatively consult your PC and/or
       printer supplier.

    m. Make sure your printer is on line.

    n. Using the <right arrow> key move the cursor to the 'Quit' menu.
Select the 'User Guide' option and print the user instructions.

If there are problems printing, press the <escape> key until
the PRICE BOOK CREATION MODULE has been exited. Then re-boot
your P.C. (switch it off then after a wait of at least 10
seconds switch it back on again.)

If in doubt, consult your PC user guide to find out the
recommended minimum time delay between switching off and
      switching on again.

If problems still persist with the printer then consult your
Printer user guide for a diagnosis of the problem.

1.5 Accessing And Navigating Around The System.

To make selections from the menu's use the <uparrow>, <downarrow>
keys to highlite the relevant menu choice then press the <enter>
     key to make a selection.

Alternatively, press the number of the relevant menu choice.

Use the <right> and <left> arrows to move between menus.

Use the <up/down arrow> keys to cursor between fields and press
<F4> to confirm a screen entry or cursor beyond the last field on
the screen. In most cases the <escape> key allows entries to be
cancelled	i.e. not saved. In selection boxes use the <uparrow>,
<downarrow> and <pageup>, <pagedown> keys to cursor through choices.
Make a selection with the <enter> key or cancel the selection box
     with the <escape> key.

Throughout the application help is available from the <F1> key.
Read the prompts given on the screen for advice about valid entries.
Take special care to save any changes you make. Throughout the
application <F4> is used to confirm (i.e. save) any alteration.
<Escape> is used to cancel a change. You can not cancel a change which
you have already saved. You will need to change the data back and save
     it again.

Note that throughout the system lists tend to be made in alphanumeric
rather than strictly numeric order so that 71 would come after both 55
     and 555.

2.3.1 Installing The System To Floppy Diskettes.

When the Price Book has been completely keyed in, select this option to
install the customer module to diskette.

It is recommended that high density diskettes be used (especially
with large Price lists) as this will reduce the number of diskettes
needed.

Format the diskettes before use. This program will request further
diskettes as required.

Check with your customers which floppy diskette size and density
they require/can read before despatching the Electronic Price Book
Customer module.

This system will allow a Price Book with about 2,000 parts to be
installed on to one high density double sided 3.5" diskette along
with the customer module or about 4,000 parts if separate diskettes
are used.

It should be possible to improve this capacity by using file compression
packages but none is supplied with this package and provision would need
to be made for recipients of the Price Book to decompress the files.

Clearly label the diskettes once the Price Book Customer module has been
installed onto them. The label print option enables labels to be printed
for this purpose.

Photo Copy the Customer instructions or enclose your own instructions
on how to use the Customer module. Care should be taken to avoid the
spread of computer viruses by all parties involved in the transfer of
diskettes. It is recommended that all parties scan diskettes before
using files installed on them by using a proprietary virus checker.

2.4.1 Range Change Prices.

Option 1 on the Supervisor menu allows prices to be amended for	ranges of
Part numbers. These can be changed by value or percentage.

For example entering 'V' against 'Percentage or Value' and -10.00 against the
Price Adjustment could be used to knock 10.00p off the price of all Parts
specified in the Range.

NOTE : PART NUMBER 4000 WOULD BE INCLUDED IN THE RANGE 300 TO 500 AS THE
ORDER IS ALPHANUMERIC.

Alternatively putting 'P' against 'Percentage or Value' and 10 in
the Price adjustment box would add 10% to the Prices in the specified
range.

2.4.2 Re-Indexing Data.

If at any time the data observed is different to that expected,	for example
if Parts start to go missing then it is possible that the system indexes
have become corrupt. To re-build them get all other users to log out of the
system then select this option.

This will rebuild all indexes so that users can accurately see the data as
it has been entered.

It is recommended that the indexes should be regularly rebuilt on a weekly
basis if the application is under heavy use (e.g. being worked on fairly
constantly by more than one user). Reindexing may take several tens of
minutes	depending on the size of the data files and the speed of the PC
being used.

Reindex the files if ever the data is restored from a backup.

The biggest cause of index corruption is switching off a PC without exiting
the software package. This must be avoided or corruption of the indexes or
data files could result especially if a data update is in progress.

This is true of any software package.

2.4.3 Password Maintenance.

Select this option to add, change or delete users.

The first user is a golden user. This user can not be deleted or demoted
as this might prevent further access to parts of the application if no user
with sufficient rights remained.

Other users can be added, changed and deleted. It is recommended that users
initials be used as their User ID's and a unique password be created for each
user.

This will give individuals access to the Price Book and will enable the
supervisors to track changes made via the audit trail.

Only users with sufficient rights will have access to each menu option.
The access level determines whether a user may access a menu option. Access
level 1 users (i.e. the highest authority) have unlimited access to all
menu options.

Change the password of the system generated supervisor to secure the
system against unauthorised access.

In excess of 100 users can be created and can access this software
simultaneously subject to the limitations of your PC network.

2.4.4 Audit Trail Print.

This can be printed and used as a means of monitoring work carried out
on the price book. It is recommended only supervisorS are given access
to it as the audit trail can be cleared down for the range printed.

The date range of work carried out needs to be entered and a list
of system activity will be printed. After printing the choice will
be given to clear the audit trail for the range printed. The
print out should be checked before the printed range is cleared
down to ensure that a report really has been created otherwise
knowledge of the audit trail could be lost unintentionally. Some
users may want to backup data immediately prior to the audit trail
being cleared down.

3. Security.

3.1 Password Maintenance.

Users can only gain access to the system with the use of a valid
system User Id and Password. Amendment of user details is carried
    out within the application.

Access levels are used to determine which parts of the application
each user can enter. Keep your password secret. If you think that
others might have found out your password make sure it is changed.

Several safe guards have been put in place to help preserve your
security. When passwords are typed into the system on login they are
not displayed on screen. Instead a number of asterisks are displayed
equivalent to the number of characters you have typed.

Passwords are encrypted before storage. Even some one with
specialist knowledge of how to access the raw data would never get
access to the user passwords. Not unless they were also experts at
deciphering the results of encryption algorithms.

3.2 Audit Trail.

An audit trail is kept of user activity in the system. This allows
monitoring of the system. It also serves as a record of the work
    which has been completed.

3.3 Backups.

It is recommended that all data files be backed up to floppy
diskette or tape at least once a day. Several generations of
backups should be kept e.g. keep a set of diskettes/tapes
for Monday, a set for Tuesday, a set for Wednesday ... etc.

A separate end of week backup could be saved so that in the
event of file corruption the data could be restored as it was
at	the end of any one week.

All data files have an extension .DBF.

Consult your DOS manual for use of the BACKUP and COPY commands.

If the need arises to resort to a backup, make sure to run the
reindex option before continuing with use of the system. Indexes
could be saved along with data files (these have an extension .NTX)
     but this is not recommended.

If the indexes are so badly corrupted that the system will no
longer run then type EPBINDEX in the C:\PRICES directory to
run the re-index utility from the DOS prompt. Again make sure
all users are out of the system otherwise the indexes can not be
     rebuilt.

3.4 Despatching The Customer Module.

It is a condition of sale of this package that a copy of the Customer
Module Licence agreement provided with this package is copied and
despatched with each copy of the Customer module.

Carefully pack the diskettes and despatch to the Customer. There is
no	limitation on the number of times the Customer instructions can be
photocopied, nor is there a limit on the number of times Customer
     Module diskettes can be prepared.

The Customer module can be copied as many times as required, as can
the shareware version of the main Electronic Price Book system .

However the COMMERCIAL Electronic Price Book system which can be used
to create the Electronic Price Book must not be installed on more than
one PC or network at once unless additional copies are purchased. The
number of installations made must not exceed the number of copies bought.

If this Electronic Price Book is administered according to these
instructions, it should provide a cost effective means of supplying
your potential customers with an easy means of placing orders.

    at all times.

5. What To Avoid. [The 10 Golden Rules.]

5.1. NEVER, NEVER, NEVER switch off your PC or reboot your PC without
first coming out of any application.

Otherwise any data changes you have made might not be saved. Even
worse, just some of the data you've been updating could be updated
potentially leaving the data or indexes corrupted.

This applies to all computer software packages.

5.2. NEVER press <Escape> without first pressing <F4> to save any
changes you have made unless you do not want to save your
          amendments.

5.3. NEVER allow other users to use your User Id.

5.4. NEVER leave your PC unattended and logged into this application.
This application contains Company sensitive data the access to
which needs to be carefully controlled.

5.5. NEVER clear your screen before writing down exactly what error
message is displayed if the system fails in any way. This will
be vital in tracing any fault.

5.6. NEVER try to access the data from this application with unapproved
packages or packages not approved for the purpose.

5.7. NEVER distribute files without checking diskettes with a virus
checker. The threat of computer viruses is a very real one.
Company data is valuable and costs money to repair.

5.8. NEVER let the hard disk on your PC fill up beyond the 90% level.
Beyond this hard disks run very inefficiently and the incidence of
hard disk failure increases markedly. Backup redundant files to
floppy disk and delete them from your C: drive.

This application produces temporary report files on your hard
disk. If there is not room to create them the application
          will fail.

5.9. NEVER forget to save your own data files to floppy disk or tape at
the end of each day. Do not keep these files in the root of your
hard disk i.e. in directory C:\ Applications will work much more
efficiently if you keep files in sub-directories. Sub-directories
(e.g. \PRICES ) do not have a limit on the number of files that
can be stored (unlike the root directory.) In addition, vital
system files are kept in your root directory which you should
keep well away from unless you know what they are. There is no
advantage in keeping distribution data files in the root
          directory of a hard disk.

5.10. NEVER ignore an error message. This is a very high specification
system written with a high degree of fault tolerance. As such it
may carry on working even if a fault is encountered. This provides
a high degree of resilience which is important from a business
perspective. However if a fault has occurred, action needs to be
taken before its impact becomes serious. The best monitors of a
system are the users. Report any error message or warning. A timely error
report can vastly reduce the effort required to recover from a
failure. However, the implication may be loss of data integrity if
          action is not taken.

6. What To Do If Things Go Wrong.

6.1 Testing.

This application has been thoroughly tested. Each program has been
tested after completion. Every line of code has been excuted. In
addition the completed system has been tested and the results have
       been verified.

Although all reasonable endeavours have been made to 'prove' the
system it is never possible to guarantee that all faults have been
       identified and corrected.

6.2 Differing Faults.

There are four fundamental types of fault which may arise. The action
       to be taken in each case is as follows ;

       a. Fatal errors. The application hangs, terminates unexpectedly with
the display of an error message or data is changed in an erroneous way
by the actions of the application. This is a grade 1 fault. Copy any
error message down verbatim and contact us immediately preferably in
       writing.

Explain how the fault arose and report the exact error message.

       b. Functional errors. Data is not effected by these faults and the
system does not terminate abnormally or hang but the application does
not behave as expected. Usually this means the pressing of an <Escape>
key has no effect or <F1> does not call up help as advertised on
screen. Note down the failure and inform us.

Ŀ
PRICE MODULE User Manual Page 41.

It is important in this case that the exact circumstance leading to
the failure is described. It is often very easy to fix this sort of
fault if we know exactly how it occurred.

       c. Cosmetic errors. These are low importance faults which do not
effect the outcome of any processing. Generally these concern the
layout of application generated reports, spelling mistakes on screen
and errors in this user guide. Do not ignore them. Note them down and
       inform us.

       d. Enhancements. The system does not behave in the way that you would
like. Nothing has actually gone wrong but necessary functionality is
not available. Apply to us in writing for an estimate to include
this functionality. If we judge that it is of general interest we
may offer to include it free of charge. Alternatively a competitive
fixed price quote will be given.

6.3 Lost Data.

If data goes missing there could be a number of explanations.
Remember this is a multi user system. Just because you have not
deleted something does not mean it has not been deleted. An audit
trail is automatically kept of all changes to the data. (Who made a
change, when it was done, what they did ... ).

This application has been designed for optimum speed and efficiency.
This speed is achieved by accessing data through a series of indexes
(similar to the index in the back of a book.) This means it does not
have to read the entire 'book' to find the information required.
Instead the application can go directly to the relevant 'page'. On
the rarest of occasions these indexes can get corrupted (this can
occurr if someone switches off their PC whilst running a program which
adds or deletes records). A menu option exists to recreate indexes.

Whilst this is done no one can access the data. This is one of the
reasons you should never switch off your PC without first exiting any
       application.

6.5 Memory Defragmentation.

Occasionally, whilst you are in this application you will hear your PC
processing whilst it has been left, doing apparently nothing, on a
       menu. Do not be concerned.

The application has been programmed to carry out processor housekeeping
(mainly defragmentation of system memory) as required once the
processor has been at rest for more than 10 seconds.

Ignore this activity. It will abort as soon as you elect to do
anything and resume once your processor falls silent for more than
10 seconds if required. Its sole purpose is to make your PC run faster.

7. Glossary.

Special Terms Used In This Application.

Cancel. Pressing the <escape> key to exit a
                                       program without saving any changes.

Committing. Writing your data changes to disk so
they can be read by others.

Crash. The PC hangs up or displays a non
                                       application error message and the
                                       application unexpectedly aborts.

Field. A cell or unit of data e.g. a sales
                                       description.

File locking. The temporary reservation of an entire
file to give a user undisputed
exclusive access to write to the file.
Whilst it is in place no one else can
write to the file. For this reason
locks are applied for the shortest
required time. In this system they
are on for well under a second. When
you save data a lock is attempted 3
times with a delay of 1 second between
attempts. If a lock has still not
succeeded you will be prompted to
retry. It is unlikely this will occurr.

File. An organised collection of data stored
                                       on disk.

File Server. The central PC in a local area network
                                       which forms the focal point.
The PC on which all shared data and

the label pointing up and the 'open' end going into the PC. It
is highly recommended at this point that a virus checker be used
to check for viruses on the distribution diskette(s).

1.5. Copy the contents of the diskette from the appropriate drive
e.g. COPY A:*.* Press <enter> if your disk drive is A:

Wait until the files have been copied.

2.0 Entering The PRICE BOOK CUSTOMER MODULE and Printing The System
     Instructions.

2.1. Make sure your printer is switched on and has a supply of paper.

2.2. Make sure your printer cable is plugged into the back of your PC
          and into your printer.

If the printer is not plugged into the first parallel port of
your PC then you may need to re-direct your print output from
          the first parallel port.

e.g. Type MODE LPT1:=COM1 at the DOS prompt then press <enter>.
Then type MODE COM1:9600,n,8,1,p and press <enter> if your
printer is connected to your first serial PC port and has a
default configuration of 9600 baud rate, no parity, 8 data
         bits and 1 stop bit.

2.3 Make sure your printer is on line.

2.4 If there are problems printing press the <escape> key until
the PRICE BOOK CUSTOMER MODULE has been exited. Then re-boot
your P.C. (switch it off then after a wait of at least 10
seconds switch it back on again.)

If in doubt, consult your PC user guide to find out the
recommended minimum time delay between switching off and
          switching on again.

Repeat steps 1.3, 1.6 and 2.0 to 2.4. If problems still persist
with the printer then consult your Printer user guide for a
          diagnosis of the problem.
